About this policy

This Privacy Policy explains how Impireum® / Impireum Wellness Group (“we,” “us,” or “our”) collects, uses, and shares information when you visit https://impireum.com/, https://book.impireum.com/, and related pages, or when you request care, book a visit, or become a patient.

Practice operational policies (appointments, payment, pharmacy, phone calls, records, specialized therapy, and telehealth) are also published at https://impireum.com/policies/. This Mega LP page extends that substance to the booking website and includes SMS terms required for text messaging.

Website and booking information we collect

When you submit a non-emergency booking request on https://book.impireum.com/, we collect the details you provide — such as your name, email address, phone number, preferred timing, services of interest, and insurance selection — along with whether you opted in to SMS, plus basic technical data your browser sends automatically.

SMS and text messages are sent only if you check the optional SMS consent checkbox on the form. Providing a phone number or submitting the form without checking that box does not constitute consent to receive text messages.

The booking form is for non-emergency care only. If you are experiencing a medical emergency, call 911 or go to the nearest emergency room.

How we use your information

We use your information to respond to booking requests, confirm eligibility and scheduling, coordinate psychiatry, therapy, ADHD testing, and related wellness services, operate and improve our websites, and comply with legal and clinical obligations. We do not sell your personal information for third-party marketing.

Appointment policy (summary)

At Impireum®, we are committed to high-quality care and fair access. Patients must complete pre-appointment check-in (including portal self-check-in, a valid card on file, and up-to-date consents) 48 hours before a scheduled appointment; incomplete check-in may result in automatic cancellation.

Cancellations less than 48 hours in advance or failure to attend may be treated as late cancellations or no-shows, with applicable fees for psychiatry and psychotherapy members and non-members as published in our Appointment Policy. Same-day no-show fees and waiver limits also apply as described on our production policies page.

Patients are not allowed to double-book appointments within the same week. Reminder notifications are a courtesy; attending or canceling on time remains the patient’s responsibility.

Payment and fees policy (summary)

We accept PPO and Managed Care HMO plans for Psychiatry (medication management) and insurance-approved TMS Therapy services only, including plans such as Aetna, Blue Cross Blue Shield, Cigna, UnitedHealthcare, Humana, Medicare, Tricare, and VA/Triwest, subject to verification.

A quote of benefits is not a guarantee of payment. Deductibles, copays, and coinsurance are generally due at check-in. You remain responsible for charges incurred. Therapeutic counseling, neurofeedback, and ADHD testing (QBTech) are offered on a self-pay basis at the member/non-member rates published in our Payment Policy, with superbills available upon request.

All patients must maintain a valid credit or debit card on file. Payments are processed electronically via the patient portal.

Pharmacy and medication management (summary)

Medication management, including controlled substances, is tightly regulated. Patients agree to take medications as prescribed, use only Impireum® as the medication source for ADD/ADHD medications when applicable, designate a pharmacy, cooperate with random drug testing when required, secure medications, and attend follow-up appointments (generally at least every three months for medication management).

Impireum may obtain medication history and share information with pharmacies, providers, and regulatory agencies as necessary for safe prescribing. Violations may result in termination of stimulant privileges and/or services.

Phone call policy (summary)

Our office is not equipped to handle emergencies by phone — call 911 or go to the nearest emergency room. Providers may not be immediately available during sessions; non-urgent requests should go through the patient portal or clinical request process.

Extended phone consultations that would otherwise require an office visit may incur charges based on insurance rates or Impireum self-pay rates as published in the Phone Call Policy.

Records and forms requests (summary)

Routine school or work excuses may be available at the end of an appointment. Please allow 3–5 business days for document requests. Brief forms may be completed during an appointment when time permits; longer letters and forms are subject to the published time-based fees. Printing, faxing, or mailing records may incur per-page fees as published.

Electronic transfer of medical records via fax or EHR may be requested as described on our production policies page.

Specialized therapy and telehealth (summary)

TMS and Neurofeedback therapies have specific descriptions, potential benefits, and risks set out in our Specialized Therapy Patient Policy. Patients consent to the selected treatment(s) before care begins.

Telehealth/telemedicine is offered where eligible. Availability depends on your state and the service requested. Telehealth participation is subject to the Telehealth Consent Form on our production policies page.

Treatment and privacy

Policy revisions are designed to enhance quality of care, improve patient-provider engagement, and maintain compliance with current healthcare regulations. Impireum remains committed to accommodating patients while ensuring safe, effective, and compassionate care.

Divorced parents with joint custody must provide a copy of the custody agreement for new patients noting which parent has medical decision-making authority.

We apply reasonable administrative, technical, and physical safeguards to protect information. Clinical records are handled in accordance with applicable healthcare privacy laws and our practice policies.

How we share information

We may share information with service providers who help us operate our websites, process booking requests, host services, verify insurance, deliver care, or send communications, and only as needed to provide those services. We may also disclose information if required by law or to protect the rights, property, or safety of Impireum, our patients, or others.

Your choices

You may contact us to request access to, correction of, or deletion of information where permitted by law. You may opt out of SMS at any time by replying STOP.

SMS / Text Messaging

If you affirmatively check the optional SMS consent checkbox on https://book.impireum.com/, Impireum Wellness Group may send you SMS/text messages. These messages may include booking follow-up, appointment confirmations, reminders, scheduling updates, and care-related communications.

Providing a phone number or submitting the form without checking the SMS box does not constitute consent to receive text messages. Using this website does not constitute SMS consent. Calling our office is not SMS campaign opt-in.

Message frequency may vary. Message and data rates may apply. Reply STOP to opt out. Reply HELP for help. Consent is not a condition of purchase.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your personal data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including platform providers, phone companies, and vendors who assist in delivering text messages.

Your phone number is used solely for communicating with you about the inquiry or booking request you submitted. Opt-in keywords: — (web form checkbox only).

Your mobile information will not be sold or shared with third parties for promotional or marketing purposes.
